Guidelines on the Employment of Relatives Within the Organization

Ensure fair and impartial treatment of employees by implementing our policy on the employment of relatives within your organization. Its primary use is to establish guidelines that prohibit the employment of individuals in situations where a reporting relationship exists between relatives, which could lead to favoritism or biased employment decisions. The policy defines "related employees" comprehensively, including spouses, significant others, immediate family members, in-laws, step-relatives, grandparents, grandchildren and household members.

It outlines procedures to handle existing employees who become related while employed, requiring immediate notification to management and efforts to reassign one or both employees to avoid conflicts. If reassignment is not feasible, one employee must leave the company. Additionally, the policy mandates that any potential hire related to a human resources employee be reviewed and approved by the human resources leader to mitigate risks associated with sensitive data. This policy is crucial for maintaining an equitable work environment and upholding the integrity of employment decisions within the company.

According to this policy:

  • The company will not employ individuals whose reporting relationship may accompany favoritism or charges of favoritism that might arise when an employee is responsible for employment decisions that affect a related employee as defined above.
  • Existing employees are not allowed to transfer into a reporting relationship with a related employee or household member.
  • If two employees become related while employed and a reporting conflict arises, both must notify their manager immediately.
  • Any person considered for hire and related to a human resources employee should be referred to as the human resources leader for review and approval before extending an employment offer.
